Position Description

This “hands on”, full-time, salaried position is responsible for setting and achieving high standards and objectives while managing the planning, execution, and communication of construction, and maintenance of equipment, machinery, vehicles, buildings, security, telecommunications, and safety compliance facilitates of Catholic Charities and Porta Caeli House. The successful candidate will focus on all aspects of facilities including client/vendor communication and negotiations. Budget development and management, customer service, staff management, problem solving and project management experience is required.

This position will work Monday through Friday, 8:30-4:30 p.m. However, the position requires on-call duty and some travel to other properties including rural locations.

Key Areas of Responsibility

Facilities, property & equipment maintenance – break fix and preventive
Assures all vehicles and equipment are in safe, clean and working order
Planning, execution, issues prioritization, resource dispatch (in-house or 3rd party) and timely results management
Supervises the cleaning of all property and inspects for expected standards

Information Technology
Issues management and prioritization
Primary 3rd party interface (501technet)

Safety & Security
Works with CFO to establish standards and objectives, then executes plans
Responsive for alarms, cameras, locks, keys, fob/cards and readers, fences
Works with vendors (Sonitrol, et al) to assure all facilities, property and equipment meets “Code” and is fully functional
Assures campus preparedness thought training, procedure aids and drills
Assures campus and procedures meets standards required by insurance providers
Documents and escalates issues as appropriate

Fleet Management
Receives and assesses the maintenance status of each new and existing vehicle
Works with the CFO to determine if a vehicle is accepted for client use or CC fleet
Assures all vehicles

Janitorial Services
Works with employees and 3rd party vendors to assure established janitorial / custodial goals are met
Supervises janitorial resources

Maintenance, supplies, utility expense optimization & coding
Capital and expense budgeting
Facilities, property, and equipment 3rd party vendor management
Set up / tear down for on-campus events
Construction related support
Facilities supplies
Facilities project management

Resources & Communication
Facilities, property, equipment and project organization and documentation
Documents and reports actions and issues and reports urgent and key items to management
Establishes and adheres to policy and procedures
Provides timely verbal and written reports regarding issues and status
Schedules, contacts and coordinates 3rd parties for major projects
Develops and utilizes a volunteer team to assist with daily and periodic tasks
Manages the inventory of tools, supplies and equipment required for assigned duties
